The new system is designed in such a way that at almost every level , throughout the process of receiving , making and delivering s , computers are utilized . This would be done through the use of PDAs , bar code readers , database systems and subsequent training of users to ensure a higher degree of accuracy , accountability , and
security that would lead to better , more efficient and cost-effective inventory , manufacturing and shipping processes at the company
The database system to be used is Microsoft SQL Server 2005 Enterprise Edition which is robust , and has the capability to meet the security requirements of a large organization like Riordan Manufacturing (Microsoft , 2005 . Relevant shipping documents , details of materials received at the manufacturing plant , and scheduled s are scanned onto the system via a bar code reader and saved onto a central database for easy access by multiple users . The database system would help to eliminate redundancy , reduce duplication and provide an avenue to back up and replicate data to prevent loss of valuable documents and information (Whitten , Bentley Dittman , 2001 . Such information like type of materials received , vendor and quantity supplied are recorded in the database as fields . The database model to be implemented is the relational model which employs the use of tables to store data (Biblio Tech Review , 2001 . The use of primary keys and unique constraints will also be introduced to eliminate duplication in the database . This allows for easy sorting , filtering and retrieval of data organized tracking of ed materials and received supplies and also provides comprehensive information at a glance when it is needed (Whitten , Bentley Dittman 2001
Another database would also be created to contain details of all suppliers and relevant stakeholders . This ensures that the information on these people is readily available and can be accessed easily for free flow of information . This database will be made available for syncing with PDAs through the Windows Mobile Operating System so that receiving clerks , supervisors and other concerned staff may update their contact lists
The Databases will be created on the main servers at the offices . An off-site storage location and back up tapes will be used to store information . Additional information and updates will be mirrored to these sites to ensure effective disaster recovery . All these data will be managed by conducting backup and replication activities on the databases to ensure that the data is always up-to-date and available for use . Triggers will be set off in the event that a particular inventory item goes below a stipulated quantity . This ensures that the raw materials needed for manufacturing are always available when necessary
